    To ensure consistency in our policies at the undergraduate and graduate level, this question is designed to direct the attention of the author and councils to this important issue. When appropriate changes that necessitate update/new policies at both levels require two proposals to go through governance; one for each level.
The Proposed Policy
  • Rationale for the new/update policy proposal*
    Academic Standing Update Modifying the parts of our heuristics that impact students’ Academic standing will not only assist students in their first year, but all of our students. The updated policy will take better advantage of Academic Warning (AW) as an academic standing for those who need help, but a mandatory advisement before the following semester should set them up for returning to Good Standing; such students don’t require a self-evaluation or a Success Plan as required by the Academic Probation Academic Standing. If the overall GPA of a student at the end of a semester is below 2.0, that student needs a more significant intervention. We will use the Academic Probation (AP) in those instances. Also, when students already have the AW status, if they continue to struggle, they will be transitioned to AP even if their overall GPA is still above 2.0. There is no significant change in how students return to Good Standing from Academic Warning or Academic Probation. There is also no significant change in the policy for students disqualifying academically (dismissal); the changes here are mostly in cleaning up the language. The switch from AW to AP status change impacts continuing students and not our students in their first semester. All students initially matriculate in Good Standing. The other change which may seem as a small tweaking of the requirement but will likely have a significant impact has to do with what happens to students, FY or transfers, after their very first semester. Currently, if these students have an Unsuccessful Semester, we place the student on AP. This can be several hundred students at the end of a fall semester where the high majority of our new students start their matriculation at Oswego. Two major changes in the policy are proposed. One, for a FY student in their first semester, if their overall GPA and semester GPA are 2.0 or above, but they only earned nine credits, we would consider the student to be in Good Standing (GS) with their first semester deemed as successful. Current policy disregards good achievement of a FY student who chose to withdraw from one or more courses where they earned only nine credits in their first semester. Two, some new students, FY or Transfers, could be moved to AW if their overall GPA is 2.0 or above instead of the current policy that changes the status of all of our new students (FY or transfers) to AP if they have an unsuccessful semester. We will also utilize the AW standing if the new student’s overall GPA is 2.0 or above, but the students did not earn enough hours. e.g., the student’s overall GPA is 2.5 but they withdrew from several courses, so, we consider their semester as Unsuccessful, but their overall GPA places the student on AW instead of the current rules that places the student on AP. There are a number of attachments to this proposal that provide the side by side of the policy change and help us make the case for the proposal. Academic Standing Side by Side file provides the current/proposed. State Diagram for Academic Standing 3 3 2025 provides how a student’s status changes from one standing to another based on their performance. AP Policy work 3 3 2025 is a spreadsheet that IR provided for us where they assess they number of FY students impacted by this policy change where the student remains on Good Standing or perhaps be switched to Academic Warning instead of Academic Probation. I have also asked the Director of Financial Aid to write a support letter related to the number of credits First Semester, First Year students need to earn in order for them to have been considered as making acceptable progress in SAP (Satisfactory Academic Progress). Students can earn 9 credits in their first semester. Once we have the letter of support, we will add the letter to our proposal. Lastly, again in the context of completing credits, Academic Standing Credit Minimums at Other SUNY Comprehensives shows that reducing the barrier for credit completion is really inline and perhaps still more stringent than other SUNY Comprehensives.
